Avoid unexpected charges, stay on top of data consumption and prevent network breaches with these mobility best practices.

To support a mobile workforce, companies routinely provide employees with connected devices that deliver real-time remote access to email, apps and unified communication tools. But roaming charges, data-sapping apps and unsafe network access can drive up costs and create security risks. What's the best way to protect your business? Educate your team with expert advice.

Travel Tips

Avoid roaming charges. Airfare and hotel rooms aren’t the only expenses associated with business travel. To avoid unexpected roaming charges, ensure employees travelling outside of Canada have plans with options for U.S. and international destinations.

Note, however, that not all roaming options are created equal. Some cover only certain geographical zones. Make sure you do your due diligence and verify that the plan you’re purchasing on behalf of your employees covers the countries on their itinerary.

Better yet, eliminate the hassle of travel planning with an always-on roaming package that automatically – and only – triggers when an employee leaves Canada and uses voice, text or data services.

Prevent unexpected fees on the high seas. Cell phone service on a cruise ship is often covered by an at-sea provider, which can lead to stomach-churning roaming rates. Employees can avoid these by manually adjusting roaming settings for data, voice and text messaging and turning off automatic data syncing and third-party apps that eat enormous amounts of data.

Minimizing data consumption

Beware of app attacks. Popular apps running in the background of a device can quietly consume vast amounts of data. Raise awareness by reminding employees to manually turn off data-hungry apps, such as location-based tracking services, when not in use.

Keep tabs on usage. Uploading images, streaming music, watching videos — they’re all mobile activities that can devour data and wreak havoc on corporate budgets.

Take advantage of data management tools. To avoid unnecessary charges, set automatic notifications and real-time alerts for when employees get close to their data usage limit and pause data when it exceeds limits. Also, reduce the quality of video streaming to lower data consumption.

Stay on top of WiFi connectivity. When a WiFi signal weakens, mobile connectivity may automatically tap in to the cellular network without alerting you. Checking WiFi connection status periodically can help eliminate surprises, especially when roaming. Better yet, travelling employees can turn off data roaming and all cellular data when they’re at a resort or hotel that offers free WiFi service. Selecting the network with the strongest signal will help ensure a friction-less connection.

Security

Raise security awareness. Today’s IT teams rely on mobile device management tools, with features like remote wipe, to minimize mobile security threats and keep apps and operating systems up-to-date. However, employees can do their part by keeping their devices safe, avoiding unsecured WiFi access points and connecting only to trusted and secure networks.

A savvy mobile strategy, along with these best practices, can drive productivity, boost employee retention and reduce communication costs for long-term business gains.
